Job Summary:
We are currently seeking skilled and team-oriented applicants for the following position: Information Technology Administrative Assistant 3. This positing performs administrative assistant duties and operational tasks in support of the Department of Information Technology under the supervision of the AVP/CIO. This position provides administrative, financial, and operational support for Eastern Washington University's Information Technology Division. The role ensures effective management of administrative support, including budgets, chargebacks, contracts, licensing, purchasing, travel, records, and departmental processes, allowing IT services to operate efficiently and in compliance with university and state policies. By coordinating resources, improving workflows, supporting staff and stakeholders, and maintaining accurate financial and administrative records, the position helps sustain the technology infrastructure and services that support teaching, learning, research, and student success. This position directly contributes to EWU's mission by promoting operational excellence, stewardship of university resources, and an excellent customer experience for faculty, staff, and students.

The salary for this position is $48,996 - $64,128. Where the hired candidate will begin within this range is dependent on education, experience, and skills.

Conditions of Employment:

Required Qualifications:

Any combination of four (4) years of education or experience in clerical, office or administrative work, or business administration, public administration or a closely related field.

Knowledge of administrative procedures, office practices, correspondence preparation, general accounting practices, travel processes, detailed event planning, and basic task management practices.

Ability to communicate using strong, effective and coherent verbal and written skills and recommend solutions to issues.

Proficient computer skills in Microsoft Office products (Word, Excel, PowerPoint), SharePoint, electronic calendar system including resource room management, and other office software adopted by department.

Ability to plan and prioritize office operations within a busy, multi-tasking environment, this includes adapting to changing priorities and organizational needs.

Ability to work with office equipment such as computers, printers, fax machines, copy machines, scanners, projectors, video equipment, digital signage.

Ability to exercise sound judgement, discretion and confidentiality.
Preferred Qualifications:

Experience in higher education, or state government, and basic knowledge of state laws, rules and policies.

Proposed Job Duties & Responsibilities
Financial Operations and Budget Monitoring: (50%)
- Processes departmental chargebacks using a variety of methods as appropriate, including but not limited to: journal vouchers (JVs, jupload) inter-departmental purchase orders (IDPO), etc. Processing can occur monthly, quarterly, at the fiscal year end or ad-hoc as needed.
- Review and process monthly bills for IT, including but not limited to telecom, internet, cloud services, and other technology and administrative services. This also includes monthly lease payments. Calculate, document, and submit lease charge backs annually and quarterly.
- Track and process licensing/subscription renewals (monthly).
- Review and analyze invoices for discrepancies and unexpected increases and elevate to supervisor for review.
- Evaluate costs for departmental expenditures, including but not limited to: equipment, supplies, furniture, travel, meetings and other events.
- Assists with departmental budget development, journaling, reconciliation, forecasting, monitoring and reporting, including preparation of budget reports and maintaining a central ledger/journal.
Administrative Tasks and Processing: (30%)
- Establishes and maintains manual and electronic files, and ongoing process improvements, in support of departmental billing, purchasing, policies and procedures, communication efforts, presentation materials, and department operations.
- Inputs and submit travel requests for IT staff ensuring University and State policies are followed.
- Maintain records of IT licenses, subscriptions, leases, services, and other assigned technology resources, including cost, users, departments, renewal dates and related documentation.
- Develop, document, maintain, and improve procedures for assigned administrative and operational responsibilities.
- Coordinate Committee and departmental meetings, including scheduling, preparing agendas and materials, recording meeting notes, and tracking follow-up actions.
- Attend departmental and committee meetings, provide administrative support, and represent the IT team professionally.
- Support the review, routing, and processing of contracts, agreements, purchasing documents, and related records for accuracy, completeness, and required approvals.
- Provide in-person reception and administrative support, including assisting visitors, answering general questions, and providing building directions.
- Receive and deliver mail, packages, and departmental orders.
Preparation of Reports, Surveys, and Communication Materials: (15%)
- Assists with surveys and the preparation of reports by gathering and computing numerical information.
- Drafts for supervisor review regarding narrative interpretation of information to be included in reports.
- Review reports for clarity and accuracy, pointing out questionable data or narrative to supervisor for clarification.
- Completes and/or prepares a variety of reports, including but not limited to: minutes, policies/procedures, campus communications, digital signage, website pages, correspondence, etc.
Special Projects and Assignments: (5%)
- Coordinates special, assigned projects within the department including event planning (including monitoring of budget and expenditures for events), detailed logistical support, and implementation support.
- Other duties as assigned.

The Annual Safety and Fire Report is provided in accordance with the Jeanne Clery Act of 1998 and the associated amendments including the recently adopted Violence Against Women Reauthorization Act of 2013.
